What It Does

VisualHCM’s shift validation is a preventative check that runs between scheduling and execution. For every shift, you define the minimum staffing the shift actually requires by role, such as one manager, two associates, and a licensed forklift driver. VisualHCM then compares that requirement to the schedule you have built and flags any shift that does not meet it.

The goal is to keep you from being short-staffed or over-staffed before the shift begins, not after. If you have scheduled two managers when you only need one, VisualHCM alerts you to the overage. You see the problems while you still have time to fix them, which means fewer last-minute scrambles, less uncovered coverage, and fewer overtime surprises.

When validation finds a gap, VisualHCM helps you close it. The replacement workflow pulls from eligible employees based on role, certification, availability, and your configured rules, so the person who fills the gap is actually qualified to work the shift. How It Works

Step 1: Define Minimum Staffing Requirements by Shift

For each shift type, location, or schedule template, you configure the minimum staffing the shift requires. Requirements are defined by role and headcount, and can include specific certifications, skills, or other eligibility criteria. A warehouse shift might require one supervisor, two pickers, and one forklift-certified operator. A nursing shift might require two RNs and three CNAs. The requirements live with the shift, so they apply automatically every time the shift is scheduled.

Step 2: VisualHCM Validates the Schedule Against Those Requirements

Once the schedule is built, VisualHCM runs validation across every shift. It compares who is scheduled to who is required and flags three things: shortages, where a required role is not fully staffed; overages, where more people are scheduled than needed; and mismatches, where the scheduled employee does not meet the role’s eligibility rules. Schedulers see the flagged shifts on a single dashboard, sorted by severity and shift start time.

Step 3: Resolve Gaps With the Replacement Workflow

For every flagged shift, AION provides a list of eligible replacements drawn from your workforce, filtered by role qualification, certification status, availability, and any compliance constraints you have configured. Schedulers can offer the shift to one or more eligible employees directly from the validation view, and every acceptance, decline, or override is recorded in the audit log.
