Workloads: Assign and Balance Work Across Your Team

Give supervisors clear visibility into who’s doing what and make sure no one is overloaded or underutilized when it matters most.

What It Does

VisualHCM’s workloads management module allows supervisors to assign tasks and responsibilities within a shift, track real-time completion, and redistribute work when priorities change. It connects task data to attendance and performance records so you have a complete picture of productivity, not just of whether someone was present, but of what they accomplished during their shift.

Workload management is particularly valuable in environments where shift work involves multiple task types that need to be distributed equitably and efficiently: healthcare facilities, food service operations, field service businesses, and facilities management teams. When supervisors can see task assignments, completion status, and workload balance in real time, they can make immediate adjustments rather than discovering imbalances after the shift is over.

Workloads data in VisualHCM also connects to performance management in VCS HR. Task completion history gives managers objective data to reference in performance conversations. And, workload patterns over time can reveal productivity trends and development opportunities that wouldn’t be visible through schedule data alone.

How It Works

Step 1: Supervisor Assigns Tasks Within a Shift

Before or during a shift, the supervisor opens VisualHCM’s workloads dashboard and assigns tasks to individual employees or teams, specifying the task type, priority, expected completion time, and any dependencies. Employees see their task assignments on their mobile app and can update completion status in real time.

Step 2: Real-Time Completion Tracking Throughout the Shift

As employees complete assigned tasks, they mark them done in the mobile app. The supervisor’s dashboard updates in real time, showing completion status across the team. If a task is falling behind or an employee is unexpectedly available after completing their assignments early, the supervisor can redistribute work immediately.

Step 3: Workload History Feeds Performance and Analytics

At the end of the shift, task completion data is stored in VisualHCM and connected to each employee’s attendance and shift record. Over time, this builds a workload history that supervisors and HR managers can use to identify high performers, assess workload equity, and inform performance conversations with objective data.

What's Included

  • Task assignment by employee, role, or team within a shift, with priority levels, expected durations, and dependency tracking.
  • Real-time task completion tracking for supervisors, visible from desktop or mobile dashboards.
  • Workload balancing alerts when an employee’s task load is significantly higher or lower than their peers on the same shift.
  • Integration with shift scheduling and attendance data: workload assignments are connected to the employees who are actually present.
  • Workload history reporting for performance reviews, productivity analysis, and workforce planning.

Business Impact

Supervisor Efficiency

Real-time workload visibility allows supervisors to make immediate adjustments to task assignments, reducing the end-of-shift scramble to complete unfinished work and the productivity loss that comes from unbalanced task distribution.

Employee Performance Clarity

Workload completion data gives managers objective, task-level performance information that supplements traditional time-and-attendance data, making performance conversations more specific and more credible.

Task Completion Rate

Teams with structured workload assignments and real-time tracking complete a higher percentage of planned tasks per shift compared to teams where task distribution is managed informally, reducing carryover work and improving operational consistency.

Related Features

Workload assignments are tied to validated shift plans, so tasks are distributed across the staffing that has actually been approved and confirmed for each shift.

Workload data can be used to confirm that compliance-related tasks (safety checks, credential verification steps) are completed as required.

Workload completion history feeds into performance management records and can inform goal-setting and development planning.
