Shift Bidding: Let Your Team Compete for the Shifts They Want

Fill shifts faster, reduce manager calls, and give employees the scheduling flexibility they want with a transparent, automated shift bidding system.

What It Does

VisualHCM’s shift bidding module allows managers to post available shifts and employees to place bids based on preference, seniority, or any criteria you configure. The system automatically awards shifts based on your defined rules, notifies all employees of the outcome, and updates the schedule, all without manager-by-manager coordination.

Shift bidding addresses one of the most persistent frustrations in shift-based workforce management: the perception that scheduling decisions are made inconsistently or unfairly. When employees compete for shifts through a transparent, rules-based system, they understand how decisions are made even when they don’t get their preferred outcome. This transparency reduces scheduling disputes and improves workforce morale in industries where schedule control is a significant quality-of-life factor for employees.

For managers, shift bidding replaces the time-consuming process of soliciting availability, comparing qualifications, and communicating decisions individually, with an automated system that does all of it based on your configured rules and delivers the outcome to every affected employee simultaneously.

How It Works

Step 1: Manager Posts Available Shifts for Bidding

The manager creates a shift posting in VisualHCM, specifying the shift details, any eligibility requirements, the bidding window start and end times, and the criteria that will be used to award the shift: seniority, qualifications, preference history, or any combination of factors. The posting is immediately visible to eligible employees.

Step 2: Eligible Employees Submit Bids from the Mobile App

Employees who meet the eligibility criteria receive a push notification about the available shift and can submit a bid from their mobile device or the employee portal. The bidding process is transparent: employees can see that a shift is available and the deadline for bids, but not other employees’ bids.

Step 3: System Awards the Shift and Notifies Everyone

When the bidding window closes, AION automatically evaluates all bids against your configured criteria and awards the shift to the winning employee. All bidders receive immediate notification of the outcome: winners receive a shift confirmation, and other bidders receive a notification that the shift was filled. The schedule updates automatically.

Business Impact

Manager Time Saved on Scheduling

Managers in shift-based environments spend significant time soliciting availability and coordinating shift coverage individually. Shift bidding automates this process end-to-end, returning hours to managers each week that can be redirected to operational leadership.

Employee Scheduling Satisfaction

Employees who have a structured, transparent mechanism for competing for their preferred shifts report higher scheduling satisfaction, which research consistently links to lower turnover and higher engagement in shift-based industries.

Shift Coverage Speed

Automated shift bidding fills available shifts faster than manual coordination because eligible employees are notified simultaneously and can bid immediately, rather than being contacted sequentially until someone accepts.

Related Features

Open shifts created by callouts or schedule changes can be immediately posted for bidding using the shift bidding module.

Bids are filtered and checked against the same minimum staffing requirements and role eligibility rules, so winning bids still satisfy the shift’s staffing plan.

When a callout cannot be filled through the replacement policy, the shift can be escalated to shift bidding for broader coverage.
