VCS HR’s replacement policy feature lets you configure exactly how callout coverage is handled at your organization. When an employee calls out, the system follows your defined process, notifying the right employees in the right order, applying seniority or qualification rules, and confirming coverage, all automatically. Managers are notified of the outcome, not asked to manage the process.

Callout management is one of the most time-consuming and disruptive parts of managing a shift-based workforce. How It Works

Step 1: Callout Triggers the Replacement Policy Automatically

When an employee reports a callout, whether through the mobile app, a manager action in the system, or an automated absence trigger, VisualHCM immediately activates the replacement policy for the affected shift. The system identifies eligible replacement candidates based on your configured rules: role match, certification requirements, seniority, availability, and any other criteria you’ve defined.

Step 2: Eligible Employees Are Notified in Policy-Defined Order

VCS HR contacts eligible employees in the sequence your policy defines: by seniority, by proximity, by preference, or by any combination of factors. Each employee receives a push notification with shift details and a defined response window. If the first employee doesn’t respond or declines, the next eligible employee is contacted automatically, without manager intervention.

Step 3: Coverage Confirmed or Escalated

When a replacement employee accepts the shift, we confirm coverage, update the schedule, notify the manager, and trigger shift validation rules for the covering employee. If no replacement is confirmed within your escalation window, the manager receives a notification and can take manual action or escalate to open shifts or shift bidding for broader coverage.
